New students are entitled to one complimentary session. Subsequently, you are required to establish a direct debit for ongoing training fees. The initial payment may be adjusted to cover training for the remainder of the current month.
To switch from training once a week to unlimited training, please contact the ESKA office at 01603 418751 or via email at office@eska.co.uk. This upgrade becomes effective from the date of payment and is valid for one calendar month.
Payment Failures: If your direct debit is declined by your bank for any reason, you are responsible for any costs incurred by ESKA. A £10.00 administration fee will be charged per failed payment. You must then initiate the payment process again.
Alternative Payment Options: If direct debit setup is not possible, annual or bi-annual payments can be made via cash or bank transfer.
Memberships can be frozen if you cannot attend classes for at least one full month. During this period, members must continue to pay a reduced monthly fee for insurance and membership (£3.50 for Tiny Tigers and Juniors, £5.00 for adults) to maintain the benefits of catching up on classes within a 12-month rolling period and being able to attend TSKUK member events. Freeze requests must be submitted to office@eska.co.uk at least 28 days in advance. Verbal confirmations are not accepted.
Members are encouraged to attend any ESKA class suitable for their age and grade.
Missed classes due to holidays or illness can be made up at any suitable ESKA class within a 12-month rolling period, provided your membership is active.
Non-Refundable Fees: Fees for training, gradings, licences, competitions, etc., are non-transferable and non-refundable.
Event Booking: Bookings for gradings, competitions, or events must be completed by specified deadlines. Late bookings will incur a £5.00 administrative fee, payable at the time of booking. This fee is non-refundable.
To cancel your membership, written notification must be sent to office@eska.co.uk at least 28 days in advance. Verbal notifications are not accepted.
If there is a break in membership of one month or more, any accrued lessons will be forfeited.
ESKA suits or Tiny Tiger uniforms, complete with the ESKA badge, are required at all gradings.
Being a member of ESKA includes membership of the Traditional Shotokan Karate UK (TSKUK) and the World Union of Karate-Do Federations (WUKF).
Arrival Times: Please do not arrive more than 15 minutes early at the class venue unless using other chargeable facilities.
Late Arrival Policy: Members arriving late may be denied entry into the class.
While we understand that occasional delays can happen, parents and guardians are expected to promptly collect their children at the end of class. Our policy for late collections is as follows:
A 0–15 minute period after the end of class is considered a grace period. During this time, the child will be supervised as part of the instructor’s normal closing duties. A child will never be left alone with an instructor—there will always be at least two adults present in line with safeguarding requirements.
For collections more than 15 minutes late, the instructor will attempt to contact the parent/guardian using the details on file. ESKA reserves the right to invoice the parent for the instructor’s time at the standard personal training hourly rate, adjusted proportionally for the time required.
If a child is over 30 minutes late being collected and no contact has been made, instructors will follow safeguarding procedures, and the Designated Safeguarding Lead, Social Services, and relevant statutory authorities will be contacted.
All fees and terms are subject to change without prior notice.
All lost property items left at The Dojo Norwich or any other ESKA training venue will be disposed of after 1 month. It is your responsibility to claim any lost items within this period by contacting ESKA on 01603 418751 or office@eska.co.uk.
ESKA operates within a range of privately owned venues, including leisure centres, school sports halls, and community facilities. All members, parents, carers, and visitors must follow each venue’s own policies regarding photography, filming, and mobile device use.
At The Dojo Norwich, ESKA adopts a common-sense approach to photography and videography:
Photography and filming are permitted during ESKA classes, courses, events, and gradings, provided they are carried out responsibly and respectfully.
Avoid capturing anyone outside of your own family group, particularly individuals who have not provided photo/video consent.
Photography and videography are strictly prohibited in changing rooms, toilets, and any private areas.
All photography must be appropriate, respectful, and in line with safeguarding best practice. ESKA reserves the right to restrict, limit, or prohibit photography where necessary for safety, privacy, or safeguarding reasons.
